Company Events

This feature permits to publish Company Events on Trucky HUB.

You can publish your events and other users can sign up to attend events or book a slot. Single users or entire company can sign up their attendance.

If you sign up the presence on behalf of your Company, the event will be displayed in your Company Events Calendar together with your events.

Upcoming Company Events are displayed in the VTC Hub Dashboard and in a separate page called “Calendar” accessible from the VTC Hub Menu.

Events Management

The tool is available at the Company Events Management page.

To access this page you may need to create a specific Role with “Manage Events” permission. Company Owner and users with Company Management permission have already access to this tool.

How to create an event

Main Details

Game – Select the game you are hosting your event on
Platform: Trucky supports events hosted on TruckersMP or Convoy Mode. If you own a Dedicated Server on Trucky Infrastructure, you may choose your Dedicated Server from the list: in this way, Dedicated Server information such as name and Session ID will be displayed on the Event Detail Page as shown below:

Server – The TruckersMP Server or the Convoy Mode Server name you will host the event on.
Event Name – The Title of the Event.

Time and Location

Time and Location Start Date & Time (UTC): The time that your event is scheduled to start. Ensure this time is in UTC. But don’t worry, other users will see the time in their local timezone.
Start City: Select the city your event will start.
Start Location: Input the location where your event will start
End City: Select the city your event will end.
End Location: Input the location where your event will end.

Main Information

Language: Select the language that your information is written in.
Information: This could include but is not limited to: a short introduction to the event, convoy rules and additional event information.
Discord Description: this field becomes mandatory when “Sync with Discord” is selected. This description will be used in Scheduled Events and Message Embed on Discord.
Cover Image: Insert a banner image that will appear at the top of your event page when created.
Private Event: toggle this field if the Event is private, in this way it won’t be displayed on Public Calendar.
Sync with Discord: toggle this field if you want to publish and sync this event information on your Discord. See more below.
Route Image: Insert a image of the route that your event will be taking.
Voice Link: Insert a link for your Discord Server, direct invite to a Voice Channel, other kind of voice server.
External Website: Insert a link to an external site where further event information may be posted.
Status: denotes if the event is still in Draft or Published. Until the event is not Published, it won’t be displayed in Public or Company Calendar.

Discord Syncronization

If the Event is syncronized with Discord, Trucky will take care of posting and keeping updated the Event Information on your Discord Server.

First, you have to configure correctly and link your Discord Server on Trucky as described here.

When the Discord Sync is on, you may choose what is the Discord Channels where the single event will be published, it could be different for each event, if necessary, as in the example below the #events channel.

Once your Event will be ready, you can Publish it and then publish to Discord clicking on the button “Publish to Discord”

This action creates two objects on Discord: a Scheduled Event and a Message with Embed in the given Discord channel, as shown below:

Once this is done, your Event will be kept in sync from Trucky. Every time you save the Event information, Trucky will update both.

Furthermore, you may choose if mentioning Roles on your Discord Server while publishing the Event Message.

To do so, configure what roles you want to mention automatically under your Company Settings > Discord > Discord Roles to be pinged

Import from TruckersMP Events System

If your Company is linked with TruckersMP, you may import events directly from their Events System without having to copy and paste every information.

You can choose to import all Company Events or a single event. If the Event has been already imported on Trucky, it will be overwritten.

When imported as single event, you will be redirected to the fresh created event and manage it.

If you update or change Event Information on TruckersMP, you can sync the single event information from the Event Detail Management Page clicking on the button “Sync Details from TruckersMP“. Be aware all relevant information downloaded from TruckersMP will override what you have edited on Trucky.

If the Event is synced with Discord, this will update also the related objects on Discord aswell.

Slots Booking

With an Event, usually, comes also the need to let other Companies to book a slot for participating at your wonderful Event.

Instead of Google Forms, Excels, messages on Discord, you can configure slots to be booked directly on Trucky.

Under the Slots tab in the Event Detail Management Page, you may add as many slots you want.

Once a Compay has booked the slot, you may choose to confirm it. A Slot can be booked only by one Company per time, until is occupied, other Companies cannot book it.

Even if a Company has booked a Slot, you can move it to another Slot. Or you can even associate the same Company to more than one Slot.

If you want to book a slot for your Company at another Company’s Event, you must have the “Can book Slot” or “Manage Events” permissions. 

Share your Event

Use the “Public URL” that is accessible clicking on the button “Public Page” in the Event Detail Management Page.

Signup participation of your Company

To sign up your Company for participating at another Company’s Event, you must have the “Can attend events for the Company” or “Manage Events” permissions.
